Register, assign, and share vehicle locations

How to manage the registry of vehicles + drivers, share a live tracking link with a customer, and update compliance fields like registration / insurance / road-worthiness.

The vehicle registry

Each row in Vehicles represents one tracked asset. The required fields are registration plate, make, model, and year. Optional fields include nickname (shown on map markers), fuel-tank capacity (unlocks litre display), and ownership/labels for custom organisation.

Compliance expiries

Three first-class expiry columns on the vehicle row drive the compliance badges and reminders: Registration expiry, Insurance expiry, Road-worthiness expiry. The compliance page surfaces every vehicle with an item due in the next 30 days; the dispatcher can drill down with one tap.

Driver assignments

A driver is "assigned" to one vehicle at a time. Assigning from the driver-detail page and from the vehicle-detail page does the same thing under the hood — both writes flow through the same audit table so the assignment timeline on the vehicle's Assignments tab shows every change regardless of which side started it.

  1. Open the driver's detail page.
  2. Tap Assign vehicle; pick the vehicle.
  3. To unassign, tap the X on the green pill that appears next to the driver's name on the vehicle detail.

Share live location with a customer

Need to send a "your shipment is here" link to a non-FleetCommando user? The Share button on every vehicle gives you a tokenised public URL that needs no login.

  1. Open the vehicle, tap the green Share location button at the top.
  2. Fill in the object label ("shipment 123"), how long the link stays valid (1h to 30 days), and optionally the recipient's name / email / phone — emails are sent automatically.
  3. Tap Create & copy. The link looks like fleet.midaspathsoftwaresolutions.com/share/abc123…. Anyone with the URL sees the live position + weather + safety advisory at the truck — no app needed.
  4. You can revoke the link any time from the same dialog.
Privacy. The shared page only reveals position, vehicle nickname, and driver first name. Phone numbers, registration history, and assignments stay inside the operator dashboard.
